Organiser Terms of Service
Last updated: 9 October 2026
These Organiser Terms of Service (“Terms”) are a contract between the organiser business registering for or using onestopcomps (“you”, “organiser”) and ROGEM Business Services Pty Ltd (ABN 42 624 687 814) (“we”, “us”, “our”), trading as onestopcomps (the “Platform”).
By registering as an organiser, connecting a Stripe account, or using organiser features, you agree to these Terms and our Privacy Policy. Consumer users are also bound by our Platform Terms.
1. The service we provide
We provide multi-tenant SaaS software for competition organisers, including tools to configure events, manage entries, scheduling, music, judging-related workflows, invoices, and related features we enable for your tenant.
We are a software provider. We are not:
- your payment processor (Stripe is)
- the merchant of record for your customers’ entry-fee payments
- the organiser of your events
- responsible for your tax, consumer-law, or event-duty obligations as a supplier of events
2. Eligibility and account
You must:
- be authorised to bind the organisation you register
- provide accurate organisation and contact details and keep them current
- maintain the security of organiser login credentials
- ensure staff and contractors who use your tenant comply with these Terms
We may require approval before organiser features are fully enabled. We may suspend or terminate access for material breach, fraud risk, legal risk, or non-payment of amounts owed to us.
3. Licence and acceptable use
We grant you a limited, non-exclusive, non-transferable licence to use the Platform for your organisation’s legitimate competition-management purposes.
You must not:
- reverse engineer or resell the Platform except as allowed by law
- attempt to access another tenant’s data
- undermine tenant isolation, security, or payment integrity
- use the Platform for unlawful events or misleading conduct
- upload content that infringes others’ rights or contains malware
You are responsible for content you publish (event descriptions, prices, terms PDFs, schedules, results, communications).
4. Stripe Connect — merchant of record
4.1 Direct charges
Customer payments for your events are processed as Stripe Connect direct charges on your connected Stripe account. Under Stripe’s documentation, for direct charges the connected account is the merchant of record. You acknowledge and agree that:
- you are the merchant of record for entry fees and related amounts you charge customers
- you appear (or are identifiable) as the seller in the payment relationship consistent with Stripe’s requirements
- you are responsible for tax collection and remittance on your charges (for example GST), invoices/receipts you owe your customers, and your own accounting
- we collect a Platform booking / application fee (currently AUD $3.00 per paid booking unless zero) as our fee for the software-facilitated booking; that fee is our revenue and must be accounted for in our tax filings
- Stripe’s processing fees on the charge are borne as configured in Stripe (typically by the connected account for this model)
4.2 Onboarding
You must complete Stripe Connect onboarding and keep your Stripe account in good standing. If onboarding is incomplete or your account cannot accept charges, checkout for your events will not work. Stripe’s terms also apply between you and Stripe.
4.3 Platform visibility of transactions
As a Connect platform we may see transaction data on your connected account (amounts, customer identifiers associated with payments, status, disputes) for operating checkout, confirmation, fee reconciliation, support, and risk management. See section 6 (Data processing).
5. Your customers — refunds, disputes, chargebacks, and support
Except to the extent required by applicable law:
- You are responsible for customer service regarding your events and charges
- You must provide accurate support contact details in the Platform for display to bookers
- You handle refunds, cancellations, partial refunds, goodwill credits, and responses to payment disputes/chargebacks for your charges, using Stripe and your policies
- Stripe’s Connect dispute documentation describes that for direct charges, disputed amounts are generally debited from the connected account’s balance (subject to Stripe’s configuration for fees and negative-balance responsibility). Our production configuration uses Stripe as losses collector for connected-account negative balances as described in our internal operations docs; this does not transfer your customer-relationship duties to us
You must not represent that onestopcomps is the seller of your event entries or the party responsible for refunds of your entry fees.
If a customer contacts us about an event or refund, we may direct them to you and share limited booking identifiers needed for support.
6. Data processing (organiser customer data)
You acknowledge that end-customers booking your events are your customers for the entry-fee transaction.
We process personal information of your customers and related booking data only to operate the Platform, including to:
- run checkout and booking confirmation
- store entries, invoices, and operational records
- reconcile application fees
- provide support to you and (where appropriate) route customer enquiries
- secure the Platform and prevent fraud/abuse
- comply with law
We will not:
- use your customers’ payment or booking personal information for the Platform’s own marketing
- sell that information
- share it with third parties except processors needed to run the Platform (for example Stripe, hosting, storage, email), or as required by law, or as otherwise described in our Privacy Policy
- build cross-tenant analytics that aggregate end-customer personal information across organisers for advertising or unrelated commercial profiling
You must comply with the Privacy Act 1988 (Cth) and APPs (to the extent they apply to you), the Spam Act, and any other privacy or direct-marketing laws that apply to your collection and use of personal information (including children’s information). You must ensure your event terms and collection practices are accurate and lawful.
Our Privacy Policy describes how we handle personal information as Platform operator.
7. Fees and taxes
- Platform booking/application fees are as displayed in the product (currently AUD $3.00 per applicable booking)
- We may change Platform fees with reasonable notice by updating the product and these Terms
- You are responsible for your own taxes on amounts you receive
- We are responsible for taxes on Platform fees we earn
8. Event terms shown to bookers
You may require bookers to agree to your own event terms (URL or PDF). You are solely responsible for the content and enforceability of those terms. The Platform’s booking checkbox also requires agreement to our consumer Platform Terms and Privacy Policy.
9. Confidentiality and security
You must protect access to your organiser account and any personal information you export or view. Notify us promptly of suspected unauthorised access to your organiser account.
10. Intellectual property
The Platform remains our property. You retain ownership of your content. You grant us a licence to host, display, and process your content as needed to provide the Platform (including showing your events publicly when you publish them).
11. Warranties and ACL
We provide the Platform with reasonable care and skill.
Nothing in these Terms excludes, restricts or modifies any right or remedy you may have under the Australian Consumer Law or other laws that cannot be excluded. Where we are allowed to limit liability for a failure to comply with a consumer guarantee in relation to services, our liability is limited to resupplying the services or paying the cost of resupply, at our option.
To the extent permitted by law, we do not warrant that the Platform will be uninterrupted or error-free, and we are not responsible for Stripe outages, your misconfiguration, or your failure to complete Connect onboarding.
12. Liability
To the extent permitted by law, and except for liability that cannot be excluded:
- we are not liable for your events, customer relationships, refunds, chargebacks, tax mistakes, or content
- we are not liable for indirect or consequential loss
- our aggregate liability to you arising out of or in connection with the Platform in any 12-month period is limited to the Platform fees we actually received from bookings on your tenant in that period
You indemnify us against claims by your customers or third parties arising from your events, your pricing/tax, your content, your refunds/disputes handling, or your breach of these Terms, except to the extent caused by our wilful misconduct or negligence (and subject to non-excludable laws).
Unfair contract terms laws may apply to standard-form small business contracts. We intend these Terms to be reasonably necessary to protect legitimate interests in operating a Connect SaaS platform; if a court finds a term unfair or unenforceable, the remaining terms continue.
13. Suspension and termination
Either party may terminate these Terms by closing the organiser account in accordance with product capabilities or by written notice where the product does not allow self-serve closure. We may suspend access immediately for security, fraud, non-payment, or material breach.
On termination, your right to use the Platform ceases. We may retain records as required for legal, tax, and dispute purposes as described in the Privacy Policy.
14. Changes
We may update these Terms by posting a revised version and updating the “Last updated” date. Material changes will be notified by email to your organiser contact where practicable. Continued use after the effective date constitutes acceptance where permitted by law.
15. Governing law
These Terms are governed by the laws of Queensland, Australia. Courts of Queensland have non-exclusive jurisdiction, without limiting non-excludable statutory rights.
